About BCASC Meetings 1. Each BCASC meeting should begin with some type of icebreaker. It is the job of the vice-president school to provide for these. 2. Each BCASC meeting should have a program (a speaker and/or a workshop) specified within the agenda. The Superintendent should be invited to speak to the BCASC at a time of his/her convenience. An invitation should be sent to the Superintendent at the beginning of the school year. The invitation is the responsibility of the vice-president but, the letter should be signed by both the president and the vice-president. Topics/Workshops could include: September - Fundraising/Homecoming Projects Workshops October - School Safety Speaker/School Violence or Gang Workshops November - Poster Making Workshop December - Teacher Appreciation Activities Workshop January - Second Semester Activities Project Exchange February - Miami Project Speaker March - Workshops on the BCASC/FASC Award Programs April - Open Date (Election of the Student Advisor to the School Board)
Obtaining workshop presenters and speakers is the job of the vice-president. 3. The president should send each member school a copy of the tentative agenda five (5) days prior to the meeting so that delegates can be aware of items to be discussed and presented. 4. The minutes from each meeting should be sent to the BCASC webmster by the secretary within five (5) school days of the meeting. The minutes should include attendance and the time of adjournment. 5. It will be the responsibility of the secretary school to keep the official record of Medallion Council Points. The secretary should report Medallion Council standings in December and in March. Each member school is responsible for keeping track of their own points. 6. Time for open discussion of issues or items or for the sharing of information or projects by members must be provided at each meeting. In order to avail themselves of this time a school must place their issue, item, project, etc. on the agenda when it is opened for additions or correction at the start of each meeting. 7. Committee reports must be presented orally to the delegates at a meeting with a written copy of the report provided to the secretary at the time the report is given. 8. The Activities Liaison's Report should be on the agenda following old business unless there is a special reason to have it earlier. 9. If a host school provides pre-meeting refreshments, they must stop serving pre-meeting refreshments 15 minutes prior to the starting time of the meeting. Host schools can be reimbursed for pre-meeting refreshments up to the limit set annually by the BCASC. 10. Host schools must provide: a. A meeting place for approximately 200. b. An adequate sound system c. A welcome from the schools SGA/Student Council President and administration. d. A map to the school including parking directions at least five (5) school days prior to the meeting. e. Needed AV equipment (A request for any AV equipment must be made to the meeting host at least five (5) days prior to a meeting to be granted).
11. Meetings will start at the following times: Morning Meetings 8:30a.m. Afternoon Meetings 1:00p.m. After School Meetings 4:30p.m.
